Office Administration & Support Officer

עיקרי התפקיד
  • To be a partner with the Managing Director (MD) & Chief Operating Officer (COO) to ensure the proper functioning of all systems and operations in Israel, as well as in coordination with the US office
  • Manage operational and administrative functions for the Israeli organization to ensure key priorities are focused on expeditiously and intentionally, driving the organization forward further, faster.
  • Responsible for all in-person office operations, as well as all technical systems supporting team success (including key roles with Salesforce, JotForm, QGiv, Stripe and more.
Manage Office Administration
  • Support mass email communications, working with the Development & Communications Associate on technical aspects and the Director of Israeli Network to ensure emails go out on time.
  • Support administrative aspects of hiring, onboarding and offboarding of employees in Israel.
  • Support preparation for meetings and events, including booking rooms, arranging catering, and printing and organizing materials.
  • Support execution of meetings and events, including programmatic gatherings, Staff Retreats, Team Offsites, etc.

Support Financial Administration
  • Liaise with Israeli accounting firm on financial reporting and management, including preparation of accurate bank reconciliations and deposits, collection and coding of all receipts, processing accounts payable and accounts receivable, with a focus on timeliness, accuracy, and appropriate backup.
  • Manage Israeli payroll process, working with accountants monthly to ensure payroll is complete, accurate, and processed on time.
  • Liaise with US accounting firm, submitting all receipts, invoices, and other documentation as requested.
  • Manage all reporting requirements for Rasham Amutot and other government agencies, ensuring audit and other annual reviews of finances are complete on time.

Support IT & Salesforce Operation
  • Assist with oversight of all Israeli IT, including liaising with US-based IT consultant around maintenance of all technology, equipment and IT-related systems.
  • Serve as internal administrator of Salesforce system, partnering with COO and US-based operations staff on implementation of updates and regular maintenance of data, connections to other systems (JotForm, QGiv, Stripe, etc) and system health.
  • Become expert on Salesforce system, training and supporting Israeli staff to use it to maximum capacity
  • Location: Jerusalem, Hybrid with 3 days in the office per week
  • Reports to: Managing Director, with dotted line to Chief Operating Officer
  • Position: Full Time
  • Education: Academic degree - mandatory. A degree in business or finance - a significant advantage
  • Experience of 5 years or more in a similar position.
  • Experience in an association and familiarity with section 46 - a significant advantage.
  • Excellent English and Hebrew - mandatory; Work experience in English - a significant advantage
  • Full control of computer and office systems, including sales force
  • Service awareness, excellent operational ability
